RentalApp Terms and Conditions

These Terms govern your registration and use of RentalApp. By creating an account, you confirm that you have read and accepted them. If you do not agree, do not register or use the service.

1. The service

RentalApp provides property-management tools for recording properties, units, tenants, leases, payments, statements, notices, inspections and related information. The service is administrative software. It is not legal, accounting, tax, financial, debt-collection or eviction advice.

2. Account approval and security

Registration creates a pending account only. An authorised RentalApp administrator must activate the account before you may sign in. Keep your credentials confidential, use the service only for lawful purposes, and notify us promptly of suspected unauthorised access.

3. Your responsibilities

You are responsible for the accuracy, lawfulness and authority for all information you enter, including tenant information, rental terms, communications, notices and charges. You must obtain appropriate professional advice before relying on legal templates or taking enforcement action. You may not use RentalApp to unlawfully discriminate, harass, lock out, evict, threaten, or process information without a lawful basis.

4. POPIA privacy notice

RentalApp processes account, contact, property, unit, lease, payment, document and communication information to provide and secure the service, administer accounts, comply with legal obligations, prevent fraud, and maintain audit records. Depending on the relationship, the property owner may be the responsible party for tenant information and RentalApp may act as an operator. Each user remains responsible for giving required privacy notices and ensuring a lawful basis for personal-information processing.

We apply reasonable technical and organisational safeguards, restrict access to authorised users, and retain information only as needed for the service, legal obligations, dispute resolution and audit. We may use appropriately controlled service providers for hosting, storage, email and support. We do not permit personal information to be used for unrelated marketing without a lawful basis and required consent.

Subject to POPIA and applicable law, a data subject may request access to, correction of, deletion of, or objection to processing of personal information. Requests should be sent to the account administrator or the Information Officer identified by the responsible party. A complaint may also be lodged with the Information Regulator of South Africa.

5. Electronic communications and records

You consent to service-related electronic communications. Email delivery status records only show whether a configured mail transport accepted a message; they do not prove delivery, opening or receipt. You must verify delivery methods required by a lease or law.

6. Availability and limitation

We aim to keep RentalApp available and secure but do not guarantee uninterrupted or error-free service. Back up important records. To the maximum extent permitted by law, RentalApp is not liable for indirect loss arising from use of the service, data-entry errors, internet or mail-provider failures, or reliance on templates without professional review.

7. Suspension and termination

We may suspend or terminate accounts for suspected unlawful use, security risk, breach of these Terms, or non-compliance with applicable law. You may stop using the service at any time, subject to retaining records where required by law.

8. Changes and governing law

We may update these Terms by publishing a revised version and asking users to accept it where appropriate. South African law governs these Terms, subject to mandatory consumer and privacy protections.
